Can Administrative or Marketing Staff Maintain a Company Website? A Content and Handover Checklist

A practical website maintenance guide for administrative and marketing staff: role ownership, handover exercises, bilingual updates, checks and restoring edits

Yes. Once a corporate website has configured content models, page templates and account permissions, administrative or marketing staff can maintain product descriptions, company news, case studies and bilingual copy through the CMS admin. Independent day-to-day editing needs three delivery conditions: each item has a clear editing location, saved changes appear on the public site, and named colleagues verify business facts and resolve technical issues.

This guide is for businesses handing an existing website's content maintenance to internal staff. It also serves as a handover checklist when buying website services. For platform selection, see the corporate website CMS selection guide.

1. Assign owners by type of work

  • Administrative or marketing staff: update news, product copy, images and contact details from approved materials; maintain titles and descriptions; check public pages and record the results.
  • Product, sales or business owners: verify models, specifications, delivery conditions, permitted case-study use and public claims, and supply suitable materials for each language.
  • Website or technical staff: configure models and theme output, and handle new layouts, new business fields, form integration, deployment, backup restoration and system upgrades.

When one person fills several roles, specify who confirms each step. Teams can review content in their existing documents or communication tools. Formal approval stages, automatic assignment and cross-system workflows require a separate review of the project scope.

2. Have the editor perform five handover exercises

  1. Find the correct site and record: use the everyday account to locate a product, a news article and an FAQ. Confirm site, category and language. For several brands, check the sites and functions available to the account.
  2. Make one real change: replace text or an image using confirmed materials, save it, then check the actual change in the public listing and detail page.
  3. Complete a bilingual update: maintain Chinese and English titles, body copy, descriptions and translatable fields. Verify consistent models, values, units, images and document versions.
  4. Follow the customer contact path: find the enquiry entry from a product page. When testing a form, submit a clearly marked test, check the admin record and expected email, and agree how the follow-up owner will handle the test record.
  5. Practice correcting a mistake: save the original body, translations and field values. Restore an incorrect edit from that record, then inspect both language pages. The technical owner separately verifies system and file restoration under the deployment plan.

Record each outcome as passed, configuration required or technical action required, with a public URL and owner. Themes determine how saved fields appear. See content models and dynamic fields for configuration and display responsibilities.

3. Follow six steps for each update

  1. Collect source materials: obtain confirmed copy, specifications, images and usage scope. Record what changed and which products or pages it affects.
  2. Confirm the destination: check site, category, record and language, and record the existing URL. Keep that URL and the actual publication date for routine copy updates to an existing page.
  3. Save original values: keep the affected body copy, description, translations and field values. For changed images or files, record the previous file URL and version and keep a recoverable copy of the old file. Store original values in the team maintenance document; restore them field by field and inspect the public pages.
  4. Edit and review: update the specified content. Ask the business owner to verify facts and the language owner to check translations. Titles and descriptions should summarize the particular page.
  5. Check the public result: read the saved admin content back, then inspect the page on a phone and computer. Verify copy, images, downloads, language switching and enquiry links against the change.
  6. Record the outcome: note the time, editor, reviewer, both language URLs and results. Restore incorrect content from saved original values; refer display or submission issues to the technical owner.

Prioritize content affected by business changes. Update the relevant pages when specifications, contact details or document versions change. Set routine inspection intervals according to actual update frequency and staffing.

4. Example: a marketing editor updates equipment information

This is a fictional workflow example. A company has Chinese and English pages for Equipment A. The product manager confirms a rated-power change from 5 kW to 6 kW and supplies a revised manual. The editor checks four locations: the specification field, body copy, English translation and downloadable document. They save the original values and file URL, then bring those locations to a consistent version.

Record these public checks: both pages display 6 kW, the file link opens the revised manual, the model and enquiry entry are correct, and specifications are readable on mobile. The product owner confirms power, units and applicability for each model. Fields are configured for the project; see the product catalog implementation guide and the download center guide for document and version organization.

Copy this suggested maintenance record: update date | owner | Chinese URL | English URL | changes | saved originals location | document version | business reviewer | page results | outstanding actions. This is a recommended team record format.

5. Apply the workflow with CatchCMS

CatchCMS provides content models, dynamic fields, multiple sites, multiple languages and admin content management. Website staff first configure suitable fields for information that needs ongoing maintenance and connect those fields to the theme. Everyday editors then maintain records within that structure. Account operations are governed by both site authorization and admin function permissions.

Maintain and verify bilingual content field by field. A missing translation falls back to that field's base value; stored empty values retain their actual stored values. Check each public language page before release. See multilingual content management.

CatchCMS forms support configurable fields, submission records and email notifications. Projects configure theme integration and the mail environment; CRM integration and automatic assignment require project implementation. Editors check records and follow-up arrangements. See the enquiry form guide for acceptance steps.

6. Use AI to assist with defined maintenance tasks

AI can prepare drafts, translations and missing-item comparisons from confirmed materials, and update authorized content through CatchCMS MCP. Specify the site, record, languages, permitted fields and source materials. Follow this sequence: search current operations and schemas; read and save original values; review changes; execute; read back; inspect public pages. See the MCP operation tutorial for connection instructions.

Business staff verify specifications, case studies, pricing and licensing claims. AI tools use the admin account's identity and permissions. Assign token users, expiration and revocation responsibilities. Begin with one verified record whose changes can be checked.

7. Put maintenance scope in the handover document

  • Page and content types, editing locations and public URLs.
  • Sites, languages, available account functions, editors and business reviewers.
  • Sources and version rules for images, specifications, translations and files.
  • Steps for saving originals, checking published pages and restoring incorrect changes.
  • Technical contacts for theme changes, notifications, backups, upgrades and additional business features.

Choose a product that needs an update and have the regular editor complete a real bilingual change. Use the result to verify the handover. To confirm CatchCMS project scope, use project enquiries to share page types, languages, site counts, staffing and the list of content your internal team will maintain.
